Refund and Cancellation Policy

1. Introduction

This Refund and Cancellation Policy explains how refunds, cancellations, setup fees, subscription fees, and addon payments are handled for ACIS products and services.

ACIS is operated by Modish Aura (Pvt) Ltd, Sri Lanka.

By purchasing an ACIS package, subscription, addon, setup service, or digital solution, you agree to this Refund and Cancellation Policy.

2. Services Covered

This policy applies to:

  • ACIS POS monthly packages
  • ACIS POS annual packages
  • Addons and modules
  • Lifetime / one-time addon purchases
  • Initial setup fees
  • Hosting or cloud setup
  • Custom software services
  • Web application services
  • Demo-to-live activation
  • Support and maintenance services

3. 30-Day Satisfaction Period

For eligible new customers, ACIS may provide a 30-day satisfaction period from the date of first payment or service activation.

If you are not satisfied with the service within the first 30 days, you may contact us and request a review for refund eligibility.

Refund approval depends on the package type, setup progress, usage, support work completed, and whether any custom work or non-refundable cost has already been incurred.

4. Initial Setup Fee

The initial setup fee is generally non-refundable once setup work has started.

This is because setup may include:

  • Hosting environment creation
  • POS system installation
  • Server configuration
  • Database setup
  • Account activation
  • Package configuration
  • Technical onboarding
  • Time spent by the ACIS team

If no setup work has started, ACIS may review the refund request and decide whether a full or partial refund is possible.

5. Monthly Subscription Refunds

Monthly subscription fees are generally refundable only within the first 30 days for eligible new customers.

After 30 days, monthly subscription payments are generally non-refundable.

If a customer cancels during an active monthly billing period, access may continue until the end of the paid billing period unless otherwise decided by ACIS.

6. Annual Subscription Refunds

Annual subscription fees may be eligible for refund review only within the first 30 days of initial purchase or renewal.

After 30 days, annual subscription fees are generally non-refundable.

If a refund is approved for an annual subscription, ACIS may deduct:

  • Initial setup fee
  • Payment gateway charges
  • Bank charges
  • Used service period
  • Support or customization work already completed
  • Any third-party costs

7. Addon Payments

Some addons may be monthly, annual, or lifetime/one-time purchases.

Addon payments are generally non-refundable once the addon is activated, configured, or used.

Examples include:

  • SMS addon
  • WhatsApp addon
  • Serial/warranty addon
  • Repair management addon
  • Restaurant POS addon
  • Reporting addon
  • API/webhook addon
  • HR/payroll addon
  • Extra branch/user slots

8. SMS Credits and Usage-Based Services

SMS credits, WhatsApp credits, email credits, API usage, or other usage-based services are generally non-refundable once purchased, allocated, or used.

Unused credits may not be converted to cash unless ACIS agrees in writing.

9. Custom Development and Configuration

Payments made for custom development, special configuration, design work, custom reports, custom integrations, or custom modules are generally non-refundable once work has started.

If a project is cancelled before completion, ACIS may charge for the completed work, time spent, third-party costs, and resources allocated.

10. Payment Gateway and Bank Charges

Refunds may exclude payment gateway fees, bank charges, transaction fees, currency conversion fees, and other third-party charges.

Payments made through WEBXPAY or other payment gateways may be subject to the payment provider’s processing time and conditions.

11. Non-Refundable Cases

Refunds will generally not be provided in the following cases:

  • Request is made after 30 days
  • Setup work has already started
  • System has already been activated and used
  • Customer changed their mind after setup
  • Customer failed to provide required information
  • Customer misused the system
  • Customer violated Terms and Conditions
  • Service was suspended due to non-payment
  • Addon was already activated
  • SMS or usage credits were already allocated
  • Custom development work has started
  • Downtime or issues were caused by third-party providers
  • Customer failed to use available support or training

12. Cancellation

Customers may request cancellation by contacting ACIS.

Please include:

  • Customer name
  • Business name
  • Registered email or phone number
  • Package name
  • Reason for cancellation

Cancellation does not automatically mean a refund will be issued. Refund eligibility will be reviewed according to this policy.

13. Service Suspension for Non-Payment

If payment is not received on time, ACIS may suspend or restrict access to the service.

If payment remains overdue, the service may be terminated and data may be deleted after a reasonable period, subject to backup, legal, and technical limitations.

14. Refund Processing Time

If a refund is approved, processing may take time depending on:

  • Payment gateway processing time
  • Bank processing time
  • Verification requirements
  • Transaction method
  • Third-party provider rules

Refunds will usually be returned through the original payment method where possible.

15. Right to Refuse Refund

ACIS reserves the right to refuse a refund request if the request does not meet this policy or if there is evidence of misuse, fraud, abuse, or violation of our Terms and Conditions.
